If you have a list of clients that you want to add to your RocketLevel account, skip adding them one by one. If you have a CSV file from any spreadsheet software such as Excel or Google sheets, you can do a bulk import.
Business Value: Learn how to import a list of contacts all at once into RocketLevel for your convenience.
Getting Started
We have created this guide to show you How to import a Contact List.
This guide includes examples of Excel but this data can also be manipulated in Google Sheets, Numbers, or other spreadsheet software that allows you to export a .CSV file. All you need to be familiar with is editing a cell, copying and pasting columns, and exporting to .CSV in your chosen software.
If a written guide isn’t your preferred format, click here to view this information in a video guide.
Accessing Your Import Template File
To get started, navigate over to Contacts > All Contacts and click the blue “Import Contacts” button.
Once here, click to download the template CSV file. This template CSV file is related to your account and the custom fields that you have in it. If you would like to learn more about Custom Fields and Field Groups click here to view our guide.
Downloading Your Import Template File
Once you’ve downloaded the template CSV, you will see that the import contact template is going to be relative to your specific account and the custom fields that you created.
You can open this CSV file template in Microsoft Excel, Google Sheets, Numbers, or any other spreadsheet software that allows you to view and use a .CSV file.
You will see that the CSV file includes the custom fields in your RocketLevel account. You will want to keep this in the exact order so that you don't have any issues when importing it into RocketLevel.
Not all fields need to be filled out. If there are some columns that don't have any information, you can leave them blank.
Please note: The column names are very specific. It's very important to keep those as is to avoid any problems when importing them into RocketLevel.
Transferring Your Data Into the Template File
You’re going to want to copy the relevant information for your contacts and paste them into the corresponding columns on your template file, such as first name, last name, email, etc.
In this example, you will see that we highlighted the relevant information that we transferred over from the original file to the template we downloaded.
What to Do if You're Missing a Column in Your Template File
If you see our example data, you’ll see that there are also columns for first name, last name, email, gender, etc. If you go back to the template file, you'll see there is a column for ‘city,’ but not for gender.
If you did want to import such a field that is not part of your RocketLevel account, you will want to make sure that you add it in as a new custom field labeled “gender” and will need to download the new updated template CSV that will include “gender” as a field. Again, here’s our guide on Custom Fields and Custom Field Groups.
Now that you’re done with your template file, go ahead and save it as a CSV in order to properly import the list into RocketLevel.
Export as .CSV File in Excel, Google etc.
You have a variety of formats that you can save your data in, but what you need to save it as is going to be a ‘comma-separated values’ also known as a CSV. Once you have saved it as a CSV, you’ll go back to your RocketLevel.
Importing Your .CSV File Into Rocketlevel
There are a few things to note here before you upload anything.
- As previously mentioned, do not remove or change anything in the first row of the CSV file or your upload will fail. The first row is what RocketLevel uses to match everything up, so you want to make sure that it's the same.
- If a contact already exists in your RocketLevel account, it will be updated with any new information and it will be matched to the existing contact by phone number or email address.
- If a contract does not exist, it will be created as long as it has a phone number or email address. If it does not contain either of those the contact will not be created.
To upload the CSV file, you will go to Contacts > All Contacts and click on the blue “Import Contacts” button. You will then choose the file you want to upload and click “Upload”.
Once uploaded, you will see a notification from RocketLevel that your upload is processing, and it may take some time depending on the size of your Contact List. If the upload does not process within a few hours at most let our Customer Success team know!
Once it has finished uploading you can go back into “All Contacts”, and you will see all the contacts have been uploaded.
Viewing the Import Report
To check on the process of your import you can go over to ‘Import Contacts’ and click “Click Here to View Reports” to see what's been imported.
As you can see, it will tell you who's been updated or created. At any point, you can click to “View Data” and it will show you the information that was edited or created.
